Guidelines for Clubs' Activities 2001 - 2002

Theme

The Club Co-ordination Board aims at:
ˇV maintaining good co-ordination between all clubs;
ˇV giving advice on both internal and external activities;
ˇV eliminating conflicts between various clubs;
ˇV reflecting the opinions of the clubs to the School.

Internal Activities

1. All clubs have to seek approvals first from their teacher-in-charge, then from the E.C.A.M. (Mr. Alfed Chan) and lastly from our Principal, Rev. Bro. Thomas. Besides, they should also inform the Studentsˇ¦ Union before the function is held.
2. Special care has to be taken on handling financial matters. A financial report should be given to the teacher-in-charge no later than 2 weeks after the project was held.

3. Clubs, which collect membership fee, are required to organize activities for their members throughout the year. Besides, the School and the Studentsˇ¦ Union have the right to check the account of the clubs.

4. Unless on very special occasion, lesson skipping will not be allowed. If any club member needs to apply for lesson skipping, he has to seek approvals from the teacher in charge, the E.C.A.M., the Prefect of Studies and Rev. Bro. Thomas.

5. For reservation of the school premises, clubs are required to apply for approval from the E.C.A.M. at least TWO days before the function takes place.

6. All posters have to be stamped with Studentsˇ¦ Unionˇ¦s chop before being posted. The clubs can post their posters on glasses and ceramic tiles only but not on any wooden sur-face or walls. The clubs have the responsibility to remove the poster after the events took place.

7. The clubs are required to report to their teacher in charge regularly on the clubˇ¦s activities.

8. The P.A. system will be used frequently to announce clubsˇ¦ activities. Any club, which would like to make announcements, should send the relevant information to the Studentsˇ¦ Union on or before Friday. The announcement will then be made on the following Mon-day.

9. The School and the Studentsˇ¦ Union have the exclusive rights to dissolve any clubs that failed to comply with the above guidelines or do not co-operate with the School or the Studentsˇ¦ Union.

External Activities

For any joint activities, all clubs should observe the following conditions:

1. The club should seek approvals from their teacher in charge, the E.C.A.M. and Rev. Bro. Thomas at least two weeks before the commencing of the activities. After receiving the approval, the club should also inform the Studentsˇ¦ Union as well.

2. The School and the Studentsˇ¦ Union have the rights to know what is going on in whatever activities organized by clubs. If the School and the Studentsˇ¦ Union find out that the club is incapable of running such activity or if the School receive complaints from other related schools, the School and the Studentsˇ¦ Union have the rights to terminate the activity immediately or even dissolve the club.

3. A brief proposal has to be sent to the E.C.A.M. and the Studentsˇ¦ Union for reference, The proposal should include the names of the school(s) involved, the name of the chairman school and the names of the person(s) in charged.

4. A copy of the statement of account has to be prepared for the teacher advisors, the E.C.A.M. and the Studentsˇ¦ Union for reference (no later than 2 weeks) after the function is held.

5. All correspondence must be counter-signed by the principal of the chairman school and he teacher-in-charge.
